From Fax to Fiction

In an age where technology evolves at the speed of light, it's time to address the antiquated elephant in the room: the fax machine. Despite its persistence in some corners of the professional world, including law offices, no new law practice should ever invest in a fax machine. Let's explore why.

  • Outdated Technology: Let's face it, the fax machine belongs in a museum alongside rotary phones and floppy disks. In an era dominated by email, electronic signatures, and cloud-based document sharing, the fax machine is a dinosaur. It's like trying to win a Formula 1 race with a horse and carriage.
  • Security Risks: Transmitting sensitive legal documents via fax is akin to sending them via carrier pigeon – it's vulnerable to interception and tampering. In an age of cybersecurity threats, why gamble with your clients' confidential information? Email encryption and secure document portals offer far superior protection.
  • Wasted Resources: Fax machines devour paper and ink like it's going out of style. Not to mention the time wasted on paper jams and the endless cycle of printing, faxing, and filing. In a profession where time is money, every minute spent wrestling with a fax machine is a minute lost.
  • Environmental Impact: Let's not forget the environmental toll of fax machines. The paper waste alone is staggering, not to mention the energy consumption and e-waste generated by these bulky beasts. Fax machines have no place in our increasingly eco-conscious society.
  • Client Perception: Lastly, consider the perception of your clients. In an age where efficiency and innovation reign supreme, what message does a fax machine send? It screams "behind the times" and "out of touch." Do you want your clients questioning your tech-savviness before you even step foot in the courtroom?

The fax machine is a relic of a bygone era, a technological fossil that has no place in the modern law office. By embracing cutting-edge technology and ditching the fax machine, you'll streamline your operations, enhance security, reduce waste, and project a forward-thinking image to your clients. So let's bid farewell to the fax machine once and for all, and usher in a new era of legal practice management. Your clients – and your sanity – will thank you.

  1. Hi Spencer,
I really enjoyed your post because it made me think about an internship I had one Summer where I was the youngest person in the office and was taught how to use their fax machine that they still used quite often. Following that riveting learning experience, I then found an app called "Tiny Scanner" where you can scan documents and send them straight from your phone and I taught the office then how to use that. I completely agree that it is time to say goodbye to fax machines going into the future.

  2. One thing that I have heard about the use of fax machines in particular from medical offices as a way of delivering medical records is a result of a carve out in HIPAA that allows for the production of medical records via fax. In contrast, medical records cannot be attached unencrypted to email and be in compliance with HIPAA. This is not because fax machines are more secure, but because the medical industry lobbied congress to allow the use of fax machines because it was the industry standard.
